We specialize in advanced screening and phenotyping services and life science tools, guiding researchers and pharmaceutical companies “from lab to life.” Our core expertise lies in leveraging proprietary Engineered Heart Tissue (EHT) technology, offering highly robust, reproducible, and human-based platforms for drug discovery, safety, and efficacy testing. 

The Opportunity 

This position is initially offered as a part-time role (20-30 hours per week; 50-75% FTE). The successful candidate can work full-time remotely but also has the option to utilize a modern office space in either Hamburg or Berlin, Germany. Regular in-person meetings at one of these locations will be required for essential collaboration and alignment. 

About the Role (Key Responsibilities) 

The Business Support Manager provides direct, high-level support to the CEO/COO and the Sales and Marketing team, ensuring the smooth and effective execution of executive functions across strategic and operational domains.

  • Support the CEO/COO with operational and strategic tasks. 
  • Prepare and manage content for management and board meetings, including setting agendas, creating presentations, drafting minutes, and ensuring follow-up on action items. 
  • Develop comprehensive reports, analyses, and presentations, and prepare data essential for critical management decisions. 
  • Act as the primary interface between Executive Management and other departments, providing general administrative and organizational support. 
  • Assist the Sales & Marketing department, including:
    • Coordinate internal processes, scheduling of appointments/travel, managing documents, and overseeing organizational workflows. 
    • Preparation and follow-up for trade fairs, congresses, and events. 
    • Creation and maintenance of presentations, sales documentation, and marketing content. 
    • Conducting research on market trends, customer data, and competitive analysis. 
    • Coordination and management of external service providers (e.g., design agencies, website developers, social media consultants). 
    • Maintenance of CRM data, lead lists, and follow-up activities. 
  • Contribute to website and social media management (content creation, updates, and information coordination). 

Candidate Profile (Qualifications) 

Education: Completed university degree or vocational training in Business Administration, Management, Communication, Office Management, Project Management, or a comparable field. 

Experience: Professional experience in a similar role, such as Executive Assistant, Office Management, Project Management Office (PMO), Project Assistant, or dedicated Business Support. 
Organizational Skills: Excellent organizational skills and proven expertise in coordinating complex appointments, processes, and internal workflows. 

Language Skills: Confident and fluent communication skills in both German and English, written and verbal, is mandatory. 

IT Proficiency: Demonstrated experience in creating presentations, reports, and decision-making documents (e.g., using PowerPoint, Word, Excel, etc.). 
Analytical Competence: Strong analytical skills for efficiently preparing and processing information, data, and market analyses. 

Professionalism: High level of reliability, discretion, and professionalism when collaborating with Executive Management. 

Digital Affinity: Proficiency with digital tools, including CRM systems, Website CMS, collaboration platforms (like MS Teams/Zoom), and routine use of social media (e.g., LinkedIn). 

Working Style: A proactive, “hands-on” mentality: ability to work independently, proactively, and maintain a clear overview even in dynamic, fast-paced situations. 

Teamwork: A strong team player who enjoys operating in an interface role between Management, Sales, Marketing, and other critical areas.

Preferred (Optional): Initial experience in a trade fair, event, or marketing environment is a plus, but not strictly required.
